THE HOMEPROS FIELD GUIDE · hvac

How to plan air-conditioner maintenance.

Start with the equipment manufacturer’s instructions and the system’s service history. Ask an HVAC professional to tailor maintenance to the equipment and its condition.

BEFORE YOU REACH OUT

Get these three things ready.

  • Find model details and the manual
  • Collect previous service records
  • Record changes in comfort, noise, or operation
01

Use the equipment’s instructions

Maintenance intervals depend on the system and its operating conditions. Locate the manual instead of treating a generic online schedule as a substitute for manufacturer guidance.

02

Describe performance changes

Note rooms that are uncomfortable, unusual sounds, and when issues occur. Share these observations when booking so the visit addresses concerns as well as routine maintenance.

03

Ask what the visit includes

Request a written checklist and clarify which work is inspection, maintenance, diagnosis, or a separate repair. Ask how additional work is presented for approval.

04

Keep the service record

Save completed checklists, recommendations, and model information. Ask which observations need prompt attention and which belong in the next planned service.

Take these questions into the conversation.

What exactly are we agreeing to?
Ask for the included tasks, exclusions, materials, and completion expectations in writing.
What would change the scope?
Ask how an unexpected condition is documented and how you approve additional work.
Who handles the follow-up?
Confirm the contact process for questions, missed tasks, or a problem after the visit.
